How is student Personal Identifiable Information (PII) protected in compliance with FERPA and COPPA?

Sibme is a platform designed to help teachers collaborate on their practice and pedagogy.  While using the platform, teachers may upload student work that contains Personal Identifiable Information (PII) as defined by FERPA. We treat all PII -  whether belonging to teachers or students - as confidential and use it solely to provide services to the institution and its educators. In accordance with Sibme’s Privacy Policy, any student data uploaded by teachers is owned and controlled by the institution. The same principles outlined in the question above apply to this data. If you opt to use our AI functionality, rest assured that our AI systems do not store data or use it for model training. We strongly recommend that teachers, whenever possible, remove names or other PII from student work before uploading it to Sibme.  Additionally, we encourage institutions and districts to establish clear policies governing the use of student PII in educational tools to ensure compliance and transparency.

How can educators and institutions ensure compliance with privacy laws when using Sibme?

We highly recommend that educators and institutions obtain the required consents for recording and sharing video content, ensuring compliance with applicable privacy laws and school policies. While Sibme provides a secure platform for managing educational materials, the responsibility for securing consent and upholding privacy requirements lies with the educational institutions utilizing our services. How does Sibme ensure data privacy when using LLMs?  Is customer data used to train LLM models?

Sibme is committed to the highest standards of data privacy and security. When using LLMs, we ensure that:

  • Customer data is not used to train the LLMs’ models. Analysis is performed without retaining or using your data to improve the models.
  • Data is destroyed after processing. Once analysis is complete, any data passed through the LLMs’ API is deleted, ensuring no retention or misuse.

Are there any measures in place to protect the data sent to LLMs for analysis?

Yes, we implement several measures to safeguard the data:

  • Data Encryption: All data sent to and from an LLMs’ API is encrypted, ensuring secure transmission.
  • Controlled Access: Only authorized Sibme services have access to send data for analysis, ensuring strict access control.
  • Data Anonymization: Whenever possible, data is anonymized prior to analysis, further minimizing privacy risks.

All AI workflows are initiated by the User within the Account who generated the data.  There is no automatic AI processing, ensuring that data is only analyzed at the direction of the user.
